Administrative Assistant- Part-Time

ADMINISTRATIVE ASSISTANT (30 HOURS/PART-TIME OPPORTUNITY, 2 PLUS YEARS EXPERIENCE) 

PureB2B, LLC, is once again leading the charge in innovation and growth in the marketing technologies sector and one of the 50 fastest growing companies in Massachusetts.  PureB2B, LLC is searching for an experienced, reliable and task-oriented full-time Administrative Assistant to report to the CRO. The Administrative Assistant will work directly with our CRO in our Chicago office, in addition to other key contributors and will be responsible for performing a number of administrative duties. The ideal candidate is highly self-motivated, professional, and capable of managing their work load and prioritizing tasks in a fast-paced corporate environment. Job Description:

  • Coordinate communications, including taking calls, responding to emails, reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.
  • Maintains appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel arrangements for our sales department
  • Welcomes guests by greeting them, in person or on the telephone; answering or directing inquiries.
  • Assist with arranging and implementing sales events, such as meetings, business lunches, appreciation events, team building activities and other meetings as needed.
  • Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies.
  • Comfortable performing clerical duties 
  • Maintaining files, and organizing documents. Photocopying, faxing, collating, etc., as needed.
  • Prepares reports, presentations, and data, as well as maintaining files, records, and correspondence for meetings as needed.

Requirements and Qualifications:

  • Bachelor’s degree in business administration or related field preferred
  • 2 plus years’ prior experience in mid- to senior-level administration, business, management, or related field
  • Proficient computer skills, including Microsoft Office Suite (Word, PowerPoint, and Excel); scheduling appointments/updating calendars a must.
  • Excellent written and verbal communication skills
  • Able to concentrate on multiple problems/tasks at once
  • Excellent time management and prioritization skills
  • Comfortable in a fast-paced environment with multiple tasks and projects at hand
  • Able to organize and manage large amounts of files, tasks, schedules, and information
  • Self-directed and able to work without supervision
  • Energetic and eager to tackle new projects and ideas
  • Uphold a strict level of confidentiality and develop and sustain a level of professionalism among staff.
  • Able to perform all clerical duties, maintaining files and confidential information, organizing documents as needed.
